Description
.         GENERIC DESCRIPTION
The Client Information Specialist/Grant Management, who reports directly to the Executive Director, is responsible for database entry and maintenance of client and program statistics, grant management, and other relevant agency information as required.

II.       SPECIFIC DUTIES

A. Client Information System:

1.   Oversight of ETO software and ESQ implementation and tracking.
2.   Compile and generate statistical reports for client services, grant reports, program development, and dissemination of agency outreach and fundraising materials.
3.   Perform database queries as needed.
4.   Validate statistics to ensure accuracy of submitted reports.
5.   Train new staff in ETO data entry and features.      
6.   Conduct in-service for staff on collection of statistics and service definitions according to grant guidelines.
7.   Compile detail statistical reports on hotline calls to track activities such as accompaniments, appropriate calls and inappropriate calls and time provided to clients on the hotline.
8.   Assess program utilization trends in collaboration with the Executive Director. B. Maintenance of client information:
1.   Prepare system for carryover clients into each new fiscal year.
2.   Compiles client information and procedures for carry over.
3.   Files initials and on-going forms as necessary.
4.   Maintenance and filing of client records and information.

C. Grant Management

1. Prepare grant reports in collaboration with Executive Director.
2. Track and monitor grant program related activities to ensure compliance with grants.
3. Provide specific reports for each grant to be given to Executive Director as needed.
4. Provide data and statistics for proposals as needed.
5. Prepare end of year grant reports in collaboration with Executive Director.
6. Respond and prepare reports for random audits from funders in collaboration with      
    Executive Director and Supervisor of Administrative.
7. Prepare and coordinator agency in coordination with supervisors and administration   
    monitoring by funders PCCD and PCAR.

Skills
Knowledge of computers, Internet Explorer and Microsoft Office applications, including Windows Operating systems, Word, Excel, Access. Ability to type 50+ WPM. Good time management and analytical skills. Minimum BA or equivalent. Needs experience with case management and program development.

Notes
Completion of the 40+ hour state mandated Sexual Assault Counselor (SAC) training and 25 hour Victim Witness Advocate training (or equivalent) as a condition of hiring. All employees are At-Will employees. Criminal, Child Abuse History and FBI background checks required. Vehicle, valid driver's license and automobile insurance required. Spanish speaking a plus. EOE
